Control Description
SAP S/4HANA utilizes automated account determination logic to ensure fixed asset general ledger postings automatically route to designated balance sheet and P&L accounts based on asset class selection.
Risk
Fixed asset acquisitions, accumulated depreciation, or depreciation expenses could be posted to incorrect general ledger accounts, leading to misstated asset valuations and operating expenses.
Implementation Details
G/L Account Definition: Establish required Balance Sheet accounts (Asset Acquisition/APC, Accumulated Depreciation) and P&L accounts (Depreciation/Amortization Expense) within the Chart of Accounts.
Account Determination Key Setup: Create specific keys to group assets that share identical general ledger financial routing logic.
G/L Account Mapping (AO90): Link Account Determination keys to the specific G/L accounts for each depreciation area (utilizing tables T095 and T095B).
Asset Class Configuration (OAOA): Define distinct asset categories (e.g., IT hardware, machinery, intangibles) and bind each class to its designated Account Determination Key.
Default Parameter Assignment (OA02): Attach standard default Depreciation Keys and Useful Lives directly to each Asset Class.
Master Data Inheritance: Enforce system logic during asset creation (AS01) so new records automatically inherit account determination and calculation rules, eliminating manual entry.
Test Procedures
A) Test of Design (ToD)
• Inquire with management to understand the company’s fixed asset accounting and account determination design.
• Extract configuration and master data mappings from SAP using data extraction or table views (SE16n):
ANKT: Asset Class descriptions.
SKAT: G/L account descriptions.
T095: Mapping between Account Determination and Acquisition (APC) G/L accounts.
T095B: Mapping between Account Determination and Accumulated/Expense Depreciation G/L accounts.
ANLA: Asset master records linked to account determination keys.
• Analyze the extracted mapping matrix to verify that every asset class routes to logical, policy-compliant G/L accounts.
B)Test of Operating Effectiveness (ToE)
• Select a representative sample of newly capitalized assets processed during the audit period.
• For each sample asset, navigate to Asset Explorer (AW01N) to inspect the assigned Asset Class, Depreciation Key, Useful Life, and Acquisition Value.
• Independently recalculate the expected monthly depreciation and compare it against the system-generated posting.
• Review the underlying accounting document via transaction FB03 or Universal Journal (ACDOCA) to verify that depreciation expense and accumulated depreciation correctly post to the pre-configured G/L accounts mapped via the account determination logic.
